BOOKING CONDITIONS

Arcadian Epic Tours G.P. (GNTO license No. 1246Ε70000078801), based in the Industrial Area of Tripolis, Greece, is committed to providing enjoyable holidays. Our staff will make every effort to resolve any issues—please report them immediately.

These Booking Conditions, along with our Privacy Policy and any prior written information, outline our mutual rights and obligations. By booking a tour, you accept these terms. The lead person on the booking confirms that:

  1. They have read, understood, and agreed to these terms.
  2. They consent to the use of their information as per our Privacy Policy.
  • Booking: All tours must be booked online. Participants are responsible for providing accurate information.
  • Confirmation: At least a 50% deposit is required to confirm a booking, with the balance due 30 days before departure. Full payment is required for bookings made within 30 days of departure.
  • Payment Deadlines: Failure to pay on time may result in cancellation, with possible refunds of prior payments.
  • Refunds: If we cannot accept your booking, any payments will be refunded within four (4) working days.

CANCELATION POLICY

2a. CANCELATION BY THE CUSTOMER

If you or any member of your party wishes to cancel a confirmed package, you must notify us by email. Cancellation takes effect only when you receive our email confirmation. Cancellation charges apply based on the total cost, as outlined below.

If you cancel 21 days or more before departure, no cancellation fees apply. For cancellations made between 20 and 11 days before departure, a 50% fee of the total cost will be charged. If you cancel 10 days or less before departure, the full amount (100%) is non-refundable.

2b. CANCELATION BY THE COMPANY

We reserve the right to modify, substitute, or cancel tours due to unforeseen circumstances, including strikes, wars, government actions, natural disasters, severe weather conditions affecting outdoor activities, or the inability of our partners to provide the experiences included in our packages. If changes or cancellations are necessary, we will notify you at least 10 days before departure. When possible, we may offer alternative tours, which could involve additional costs. If no alternatives are available or you choose not to accept one, you will receive a full refund of all payments made.

REFUND POLICY ON UNUSED SERVICES

No refunds will be given for unused accommodations, meals, tours, or other services included in the package. If itinerary changes are necessary due to force majeure events (e.g., natural disasters, war, strikes, pandemics, or government actions), we will try to provide a comparable alternative. Any extra costs will be your responsibility, and any savings will be refunded. If you decline the alternative, refunds for unfulfilled services are not guaranteed but may be considered case by case.

TRANSFER OF BOOKINGS

If you cannot travel, you may transfer your booking to another person at least 15 days before departure. Booking transfers are not allowed for a different tour and require a new booking form submitted.

TRAVEL DOCUMENTS

Travelers are responsible for ensuring their passport, visas, permits, vaccinations, and other required documents are valid. If a booking is canceled due to missing documents, cancellation fees apply. We are not liable for refusal of entry, deportation, or any related expenses. Name corrections may incur additional charges.

TRAVEL INSURANCE

We strongly recommend comprehensive travel insurance to cover baggage loss, flight delays, medical emergencies, and other unforeseen events. However, the statutory Civil Liability of the insured brand covers travelers against bodily injury, death, or material damage resulting from a failure to meet contractual obligations during organized trips, for the entire duration of the insurance.

SPECIAL REQUESTS

Any special requests (e.g., dietary needs, room preferences) must be made at the time of booking. These are subject to availability, and we are not responsible if they cannot be met.

PROFESSIONAL ETHICS & PRICING

We uphold ethical business practices and transparent pricing. Discounts and promotions are clearly stated in our marketing materials.

PAYMENT METHODS

We accept VISA, MASTERCARD and bank transfers (payments in Euros only, with bank fees borne by the client). No refunds apply once a tour has begun.

BEHAVIOR POLICY

Unacceptable behavior may result in termination of services without a refund. You are responsible for any damages caused and must follow local laws.

FEEDBACK & CONTENT

Complaints should be reported during the tour and, if unresolved, emailed to arcadianepictours@gmail.com. User-generated content (comments, photos) may be used in promotions without compensation and must not violate third-party rights.

CONFIDENTIALITY, PRIVACY & LIABILITY

We comply with GDPR regulations regarding personal data. Photos and videos may be taken during tours for promotional use. If you wish to withdraw consent, notify us at arcadianepictours@gmail.com, and we will remove content where possible.

IMPORTANT INFORMATION

Confirm what is included in the tour price if unsure.

Tours require physical fitness due to walking on rough terrain; participants accept all related risks.

Late arrivals are considered no-shows with no refunds. We do not refund missed flights, transport delays, or incorrect arrival details.

Drop-off points depend on traffic conditions.

No smoking on tours. Frequent stops are available.

No hot food or drinks on transport.

Dress appropriately for religious site visits.

We are not responsible for lost property but will assist in its recovery.

We are not liable for accidents, loss, or damages unless caused by our employees’ negligence, and in such cases, liability is limited to the tour cost refund.
